Submissions Frequently Asked Questions

Where do I add my Chair and Dean to the application?

Once the Departments, Colleges, Institutes and/or Centers that will be involved in this project are selected, the CRC submission system will automatically note which Chairs and Deans will need to approve the application. The system will not request your Chair's or Dean's contact information.

If the Chair and/or Dean for your area has recently changed, please email the CRC Program Manager with the updated information.

When are the Chair and Dean electronic signatures requested?

Once the application is submitted, the Directors, Chairs, and Deans (DDC) of the PI and Co-PI(s) will be contacted automatically via email for approval of the submission. Please provide sufficient time for electronic approvals prior to the program deadline. It is advisable to check on the availability of those who are required to approve your application if you are intending to submit close to the deadline. Directors, Chairs, and Deans have 24 hours after the award deadline to electronically approve applications. Submissions that lack the necessary approvals within the provided time will be disqualified and will not move forward to review

If your DDC has not received an automated email to review and approve your application, please check each of the following:

  • The DDC's "junk" folder. The automated emails may be selected as "junk" by the email servers.
  • The "@fsu.edu" email account for the DDC. Frequently the portal will default to the "@fsu" email address, rather than a Department-specific address.
  • Prior approvers. If a Chair- or Dean-level approver has not been updated, the portal will send the approval email to the most recent person appointed to approve proposals at that level.

If the approval email cannot be found with these methods, or if approvers for your area need to be updated, please contact the CRC Program Manager for additional assistance.

What if I report to multiple Deans or Chairs?

As long as all the Departments, Colleges, Institutes, and/or Centers that will be involved in this project are selected, the CRC submission system will automatically note which Chairs and Deans will need to approve the application. Where do I attach my Research Compliance approval certificates?

If you received Research Compliance approval prior to the submission of your application, please attach the approval form in the Proposal Text appendix.

Where do I upload my Appendix?

The Appendix is considered a part of the Proposal Text; however, it does not count towards the maximum number of pages. In the proposal section of the application, applicants should submit one PDF document that includes the Proposal, References, and Appendix.

Once I've received and submitted my application for approval, is there anything else I need to do?

It is strongly recommend that each applicant - PI and Co-PI(s) - notify his or her Director/Chair/Dean that the application was submitted and to watch for e-mails requesting their approvals. Directors, Chairs, and Deans have 24 hours after the award deadline to electronically approve applications. Submissions that lack the necessary approvals within the provided time will be disqualified and will not move forward to review.

If you have submitted your proposal in time for a Pre-review, the CRC Program Staff will contact you with any technical changes needed. You can access your proposal to make these changes up until the proposal deadline. Chair and Dean re-approval are not needed.

What do the various submission statuses mean?

  • In Progress:  All the required sections of the application are not complete, the application has not been submitted, and the PI has not requested the required Director/Chair/Dean approvals.
  • Pending Approval:  The application has been submitted and is pending the required electronic approvals from the PI's and/or Co-PI(s)’s Director(s)/Chair(s)/Dean(s).
  • Pending Technical Review:  The submitted application received all the required approvals and is now pending a technical review.
  • Technical Review – Revisions needed:  The CRC Program Staff performed an initial technical review on your submitted and approved application, and they found items that should be revisited prior to the program deadline.  
  • Technical Review – Approved:  The submitted and approved application passed the initial technical review.
  • Technical Review – Disapproved:  The application did not pass the technical review conducted after the deadline and will not be reviewed by the CRC Review Committee.
  • Committee Review:  The submitted and approved application is currently under committee review.
  • Awarded:  The submitted and approved application was awarded.
  • Awarded Conditionally:  The submitted and approved application was awarded, but, prior to processing the award, the required research compliance approvals and/or signed Conditions of Award form are needed.
  • Not Awarded:  The application was not awarded.

Can I make revisions to my application once it is submitted?

Yes.  Your proposal will be accessible for revision until the proposal submission deadline, even if you have already submitted it for Chair and Dean approval.

When does the CRC Program Staff perform a technical "pre-review"?

If you would like your proposal to be reviewed for technical errors, you must submit it through the CRC portal by the Pre-review Deadline date stated in the program RFP.  The CRC Program Staff will review your proposal for document inclusion, budget allowability and accuracy, and adherence to program guidelines.  Please note the following:

  1. In order for your proposal to count as having been submitted in time for this pre-review, your application must have the "Pending Technical Review" status, which means you have obtained all required Chair and Dean approvals prior to the Pre-Review Deadline. Until your proposal has all these approvals, it will not be considered ready for a technical review.
  2. If your proposal is submitted after the Pre-Review Deadline, there is no guarantee that it will be reviewed for errors prior to the Proposal Deadline.  hus, choosing to submit after the Pre-Review Deadline leaves you at risk, as any technical errors, no matter how minor they may seem, will render your proposal disqualified.  However, if you meet the Pre-Review Deadline and make the required corrections, as per instructions, by the Proposal Deadline, your proposal will not be rejected on technical grounds.
  3. Your proposal's accuracy is ultimately your responsibility, and not that of the CRC. The CRC will not make corrections, and revisions cannot be accepted after the deadline.
